Wednesday 10/12

12pm-9pm... Members arrive at Hotel and proceed to the registration room for your goody bags and itineraries for the MV9 events.
(Dinner on your own at one of the several area restaurants or in the Pub)
5pm-7pm... Happy Hour in Atrium Bar.
7:15pm... Introductory speech by Scott Hammonds about the location and what can be expected while staying the Harrisburg area.

Thursday 10/13

8:30am-9am... Meet in drivers lounge for a rundown of the day's events.
9am-9:30am... Convoy over to the National Civil War Museum. (Parking will be made available for us).
9:30am-12:30pm... Guided tour of the artifacts within the museum.
1pm... Police assisted convoy over to Chocolate World. (Special parking to be provided for us)
1:30pm-Whenever... Lunch served on premises, Members can explore Chocolate World and what events they offer...(3-D theater, trolley ride tour, build your own chocolate bar, etc...)
Dinner on your own.
8pm-11pm... LCR played in MV9 Hospitality room.

Friday 10/14

8:15am... Drivers meeting to discuss day's events.
8:30am... Embark over to the Railroad Museum of PA (Special parking will be available)
9:30am-11:30pm... Take tour of the Railroad Museum of PA.
11:30pm... Meet at the train station for a ride on the Strasburg Railroad.
1pm... Embark from Strasburg Railroad to return to Hotel or have Lunch on your own.
3:30pm-3:45pm... Drivers meeting to gather Members who wish to participate or spectate Drag Racing at Beaver Springs Dragway.
(Members who wish to pass on this event will be given a list of optional ideas in the area.)
4pm... Convoy over to Beaver Springs Dragway.
5/5:30pm-Whenever... Arrival at Beaver Springs for our own Marauder group of time trials and Marauder group grudge matches.

Saturday 10/15

8:30am... Drivers meeting to discuss the day's events.
8:45am-9am... Convoy over to the Antique Automobile Club of America museum.
9:30-10am... Car detailing on premises. (Breakfast and lunch provided by local caterer)
10am... Voting ballots handed out for Member in-voting of cars. (Classes will be broken down on ballots)
11:15am-1:30pm... Ballots to be handed in, Members can take a tour of the museum and lunch will be served.
1:30pm-4pm... Members meet in upstairs room of the Museum for raffles, car show award presentation, door prizes, and Q&A with Steve Babcock.
4pm... Convoy back to Hotel.
5:45pm... Drivers meet in parking lot.
6pm... Convoy over to the Hollywood Casino and Racetrack.
7pm-10pm... Meet in our Banquet room for dinner.
10pm-Whenever... Enjoy the entertainment in the Casino.

Sunday 10/16

8am-10am... Farewell Breakfast in Hotel banquet room. (complementary breakfast served earlier in pub for those who wanna get a head start on the drive home)


Look over this carefully so it can be edited and times adjusted before we go to print.

Paul, on Wed. there will be a Cash Bar and Appetizer Happy Hour at the Atrium Bar from 5p -7p. Scott's welcome will follow that, in the Harris Room. I'll call him tomorrow for an exact time but I'm thinking it will be more like 7:30 or so.

On Thurs. we may want to have the drivers meeing at 8:45 am as we need to leave the hotel at 9 AM to be parked at the Museum and inside by about 9:30 am.

Also, check wth Chris about the venue for LCR. It might be in our hospitality room (not the Harris Room) because we can't have our own food and drink in the Harris Room, but we can in our hospitality room. If we do have it in the Harris Room, Justin will provide a cocktail waitress to take orders.

Yes, LCR will be held in the Hospitality Room not the Harris Room.

I spoke to Scott Hammonds. He will arrive at the hotel about 5 pm Wed. eve to join in the Happy Hour at the Atrium Bar. He plans to give his Welcome talk at 7:15 pm in The Harris Room, lasting about 20 minutes, then be available to field questions.

Also, I think the drivers meeting should start at 8:30 AM on Thursday. If it lasts 10-15 minutes that gives people several minutes to get to their cars and get ready to leave at 9 AM sharp for the museum. How long do you think it will take to drive to the CWM, park everyone, have them walk to the entrance, turn in their tickets and get seated for the introductory talk by 9:30.

Maybe on Friday, have the driver's mtg around 8:00 and cars departure at 8:15 to convoy to Strasburg. By the time we get there, get parked and file into the museum it may be 9:45 to 10:00 a.m. We all have to be lined up for the train ride at 11:45 a.m.

want people to have at least 1 hour in the museum

Is there a curfew for the room for LCR? Judging from KY, the games can and will most probably last longer than 11 PM. Also depending on how large a crowd will be playing, more than one set of LCR dice will be needed. If people want to play more than one evening, will the room be available?

There is no curfew that I know of. We do need to be mindful of noise after a certain hour as a consideration of other hotel quests. The hospitality room will not accomodate more than about 40 or so IIRC. Since the hotel will not allow people to consume their own booze/snacks in the larger hotel assembly rooms, LCR must be played in our smaller hospitality room which does allow booze and snacks not purchased from the hotel. This is for liability reasons. The hospitality room is ours throughout our event so LCR can be played at anytime of Chris/Gordon 's choosing.

Looks fine. I think what you put on the "Sunday" page is fine as a thank you to everybody. No need to do more printing work (as in a card). That's my thought.

Minor setback, but not a disaster. Driver meeting in the parking lot near the cars. I think the bullhorn may be too loud for some if everyone is crowded around as we give the announcement.

No worries, we knew that it may not be available. Parking lot should be fine with or without bull horn. But if Connie's bull horn isn't too loud, it would be better to use it.

I'd say no to the hospitality room because it is too small and isn't on the main floor.

We as the 'Planning Committee' can not leave people behind. People run late, it happens.

Sorry G, we're not baby sitters and everyone's an adult.... The itineraries are VERY clear about the time lines and we will stress how important timeliness is.... I don't think it's fair to have 1 person hold up 127 others. Beside, I'm sure someone who is 5 minutes late will be able to catch up to everyone.

I'll stay optimistic.... It'll all work out!!! :D

Curious if you folks 'skewed' the times a bit to compensate for the group rolling out a bit late?

I have always done that in the past (backing times up for departure/arrival by ~15 minutes)

I have the box of 100 black goodie bags--we should arrive Tuesday around 2:00-2:30

2nd stop--Lancaster Visitors Bureau; pick up some maps & brochures of Lancaster area

3rd stop--Choc World to pick up cafe vouchers for Thursday's lunch


I have driving directions ready to attach Voula's itinerary page. I rounded it up to 80 sets. Shouldn't take but 1/2 hour to finish up this job.

Ya'll saw the pics of ticket envelopes ready to stuff. I have train ride, banquet tickets, (and picking up the choc vouchers). Paula you have CW Museum tickets. Voula, you are picking up the AACA Museum tickets on your way in Tuesday?? So we can get envelopes ready for the goodie bags tuesday afternoon, too. Am I forgetting anything??

Do I see light at the end of the MV planing tunnel???:D

We also have Kenny Brown advertisement fliers along with fliers from some vendors that provided donations (Linear Logic and Autometer) to go in the goodie bags. I will arrive around 2:30-3pm.

We are in a little conundrum. Was MM.net picking up the tab for the AACA museum tour or were we giving the members a discount coupon to take the tour at a discounted price? I recall hearing that museum was going to knock off a few bucks for the members and the registration has no mention of the museum tour being included.

My question is, are we picking up admission tickets or discount coupons?

Mary: According to the pricing list that Voula sent you, it was to be included in the eventbrite, but there is no separate "take the tour" section on the registration.

:agree: My neck is stiff as a board and I have a head ached radiating from my neck & cerebellum to my frontal lobe! :depress: I DID however sleep though all of last night so that's a plus! Lol :sleepy:
